Guideline for responsible Use of artificial intelligence (AI)
1. objective and scope of application
This policy provides transparent information about the responsible use of AI in our training, consulting and digital learning formats. It is aimed at customers, partner companies, employees and authorities.
2. transparency about the AI tools used
We use AI for support, currently for example:
- ChatGPT and Claud.AI for text creation, training design and idea development
- Perplexity.ai for researching the information
- Canva for visualizing learning content and creating marketing materials
- MIRO for collaborative, visual online workshops and idea structuring
- GAMMA for automated, design-oriented presentations from text content
It is used for a specific purpose and responsibly. This list will be updated as required.
2.1 Examples from practice
To help you better understand how we use AI, here are some typical application scenarios from our day-to-day work:
- ChatGPT and Claud.AI support us in the creation of intercultural case studies, didactic impulses for training courses and the development of reflection questions for digital learning modules.
- Perplexity.ai is used to check the message with correct information sources.
- Canva is used to create visually appealing, culturally reflective visual worlds - e.g. for workshop materials or online seminars.
- MIRO enables us to create collaborative visualizations in real time during remote workshops and in digital coaching processes.
- GAMMA helps to quickly transform complex content into interactive, visual presentations.
These tools do not replace the creative, pedagogical or conceptual work of our specialists - they provide targeted support in individual process steps.
3. fairness and avoidance of bias
- Content with AI support is critically reviewed by the core expertise of our consultants and trainers
- We work with feedback loops and specialist examinations, especially for sensitive topics
4. compliance with laws (e.g. EU AI Act)
- Our AI applications are considered low risk
- AI content is clearly marked as such
- We keep an internal overview of AI deployments (logbook)
- Employees are trained
5 Data protection and sensitive information
Personal data is only processed if this is permitted and necessary under data protection law. We avoid entering sensitive data into publicly accessible AI systems.
6. human control
Decisions about people are never made by AI alone. There is always a human review and responsibility.
7. liability
AI content is intended to provide support, not legal or medical advice. Despite due care, no liability can be accepted for automatically generated content.
8. further development with feedback and quality check
We are constantly improving our AI applications. To do this, we collect feedback, have content checked by experts and adapt our work to new findings.
This is how we ensure that our AI-supported content remains fair, up-to-date and responsible.
8.1 Outlook: Developments in artificial intelligence
Artificial intelligence is developing dynamically - both in technological terms (e.g. multimodal models, personalized assistance systems, autonomous agents) and in the regulatory framework.
We continuously monitor these developments and regularly check the extent to which new functions, risks or opportunities affect our processes. Future AI updates, in particular with regard to:
- Automated personalization of learning processes,
- realistic virtual moderation assistants or
- Transparent prompt documentation by AI itself
are evaluated and only implemented in compliance with our ethical and data protection standards.
Our maxim remains: Technological innovation yes - but only in harmony with responsibility, humanity and trust.
